OFFICE MANAGER
reporting to the Executive Director
ORGANIZATION
Girls Inc of the Island City (GIIC), located in the City of Alameda, is an affiliate of the national Girls Incorporated, the nation’s leading expert on issues affecting girls and young women. Serving the community for 45 years, GIIC provides critical programs that inspire all girls to be strong, smart, and boldsm.
JOB DESCRIPTION:
The Office Manager is responsible for the operation of the Girls Inc front office at the Meyers Center.
PRIMARY RESPONSIBILITIES
Public Relations
- Serve as the front-line staff member who interacts with the public, program participants, Board members and community leaders
- Assume majority of responsibility for answering and directing calls
- Provide first level programmatic information and problem solving
Business Support
- Maintain central office files; prepare new employees packets
- Copy materials as needed
- Order, organize and store general office and custodial supplies
- Purchase stamps and fill postage meter
- Assist with general mailings
- Open and distribute mail
- Conduct daily computer back-up process
- Process travel arrangements for staff
- Prepare program billing statements for mailing
Board of Directors
- Copy, distribute and mail agenda and all other requested documents for the Executive Committee and Board of Director; maintain file for auditors
- Produce, maintain and distribute Board roster from information supplied by Board President and/or Executive Director
- Produce letters, memos, etc. as requested by the Executive Director on behalf of the Board
- Assist with new Board member tools kits including creation of folders and compilation of the Board Handbook
- Coordinate the process for creating new bank signature cards
DESIRED QUALIFICATIONS
- Computer literacy-training and experience with Windows (prefer MS Office Word and Quick Books Nonprofit Edition or similar fundraising/data base software); Excel; back up systems
- General office experience in reception; excellent oral and written communication skills; well-honed office management organizational skills; ability to set up and maintain filing and records systems
- Ability to operate, maintain and monitor use of copy machine, FAX machine, postage meter and other office equipment
Compensation: $12 per hour
Benefits: Vacation, sick and holiday pay
Work Status: Part-time; 20 hours per week
FSLA Status: Non-exempt
